General context of the project
The fighting inside Sudan is having devastating humanitarian effects both inside the country and in the wider region. Sudan faces a complex set of challenges, including ongoing conflict, economic difficulties, and the weakening of critical infrastructure in areas like healthcare, banking, and telecommunications.
As of February 21, 2024, the number of internally displaced persons (IDPs) due to persistent clashes between the Sudanese Armed Forces (SAF) and the Rapid Support Forces (RSF) has reached a total of 6,326,416 individuals (1,261,060 households).
These figures make Sudan the country with the highest number of IDPs in the world.
The humanitarian situation across all 18 Sudanese states remains dire, with over 24.8 million people in need of assistance.
INTERSOS first operated in Sudan in 2004, primarily in West Darfur State and Khartoum, funded by the Italian Cooperation, different UN agencies, and ECHO in the sectors of Protection, WASH, and Food Security.
The mission was closed in 2015 due to a decrease in humanitarian needs. Despite this, INTERSOS has continued to support Sudanese refugees in neighboring countries by providing humanitarian assistance.
Given the renewed deterioration of the humanitarian situation, INTERSOS reactivated its presence in Sudan in 2024 to respond to the crisis in the country and it currently has projects funded by multiple donors, such as AICS, WHO, OCHA and SV in multiple areas of the Country.
General purpose of the position
- Ensure quality support to both pre- and post- award grants and partnership functions.
- Support teams on donors’ compliance, reporting, proposal development and information management including for local partners.
- Provide administrative support to the program and grants teams and assist with the overall management of the grants and portfolio.
Main responsibilities and tasks:
- Manage procedures and systems to support the grants management with attention to the optimizations to increase effectiveness and accountability of programs
- Support in each institutional donors projects proposal writing focusing on the programs, financial and logistics requirements, proposal consistency among all components and compliance with the donors guidelines
- Monitor expenditures and financial procedures on institutional grants to guarantee the respect of donors’ requirements and compliance
- Support the preparation of budget amendments and variations to be submitted to donors’
- Upload and archive projects documentation on drive and on INTERSOS Management Platform (IMP)
- Maintain an up-to-date comprehensive Database of donors guidelines relevant to the mission. Maintain and update comprehensive online information management and filing systems, ensuring all relevant documentation and key communications are appropriately filed both for INTERSOS and partner grants
- Ensure colleagues have access to relevant records and information
- Support the use of grants/projects management tools to ensure accurate tracking of opportunities, reporting and programmatic adjustments through the project life cycle
- Support the Grants and Reporting Manager / Country Program Coordinator / Head of Mission with close monitoring and reporting on institutional and private grants spending and share concerns timely
- Assist with research and information gathering relative to proposal designs and development
- Perform monitoring visits and trainings related to the donors rules where required
- Ensure that information on donors communications, changes in regulations and meetings or events are disseminated
- As needed assist with daily administrative tasks including organizing online files, recording, and distributing meeting notes, setting up partnership meetings etc.
- Check reports and project documentation accuracy and prepare all the documentation to be provided to donors and related to reporting, and ensuring consistency among all components of the report, including financial and logistics. Perform other duties as may be assigned by the Grants and Reporting Manager / Country Program Coordinator / Head of Mission
Required profile and experience:
- BA in International Affairs, Development, International Political Economy or other relevant field
- 2 year’s relevant work experience in grants or administrative department preferably in the humanitarian sector
- Proposal and report writing knowledge
- Familiarity with international donors is preferred
- Essential computer literacy (word, excel and internet)
- Excelletn English language skills, with strong writing and editing skills in particular.
- Knowledge of Arabic will be considered as an asset.
- Very strong coordination, communication and negotiation skills.
- Teamwork, team spirit and diplomatic skills.
- Strong planning and organizing skills.
- Ability to work under pressure and manage multiple tasks at once with tight deadlines.

General conditions and benefits:
- Salary range: 06 - 2.258€ - 2.447€ monthly gross
- Accommodation: Shared Guesthouse
- R&R: 7 days of psycho-physical recovery every 10 weeks + 1000€ allowance.
- Annual Leave: 2.5 days per month

- Transportation and visa: Round-trip flights. For missions lasting at least 9 months, an additional flight ticket to the Country of residence and return to the mission will also be provided.
- Induction: one week of online induction before the deployment
