JOB DESCRIPTION 
I.    Context of the mission
Médecins du Monde (MdM) is an international humanitarian organization whose mission is to provide medical care for the most vulnerable populations, the world over. It seeks to stimulate voluntary commitment from doctors, other health care providers, and from those whose expertise in other fields is needed for its activities, to enlist all competent support required for the achievement of its projects, and to seek at all times to encourage close working relationships with populations in its care. MdM is working in Italy since the end of 2015 with a health and psychosocial programme to support access to health for migrants and refugees in Calabria, Sicily Lazio, with particular attention women and unaccompanied minors. In 2020 MdM Italy mission has undertaken a project in response to the covid19 pandemic which will continue into 2021.

II. Overall responsibility
Under the direct supervision of the Administrative and Logistic Coordinator she/he cooperate to guarantee the smooth running of administrative and logistical aspects of the association and the programs implemented, ensuring compliance with internal and external roles and procedures.

Main responsibilities
Procurement, purchasing and stock management she/he:
    Manage under the supervision of the administrative-logistics coordinator the supply Management: reception of orders, selection of the procedures needed, purchasing, packaging, organising transport and delivery
    Create and archive complete procurement files
    Contribute to the periodically (every 6 months) market analysis for the identification of the best suppliers for all different type of items purchased.
    Ensure the respect of stock management processes
    supporting the logistic in the organisation of workshops, conferences, meetings etc;
Office and Equipment Management she/he:
    Contribute to ensure the appropriate selection, installation, use and maintenance of equipment (IT, communication etc)

Transportation / Vehicle Fleet Management she/he:
    Contribute to guarantee the availability of vehicles fully equipped and secured for people and materials.
    He/she Is the direct responsible for the coordination maintenance, monitoring of vehicles
    prepare monthly fuel consumption report
    ensure that safety rules are in place in all vehicle
    facilitate the implementation of all decisions made by the coordination for security reasons

Program Activities she/he:
    Assist teams in the field in the planning of logistics activities and priorities (purchases, materials and necessary equipment etc)
    support the program teams in the logistical organization of activities
    Proactively contributes to the organization in the preparation and implementation of distribution activities
    Provide input on logistics matters for proposal and report writing

Accountability
    Support the coordinator to ensure the field-level accountability needs of the projects
    Filing of accounting records
    Other tasks as assigned according to the needs of the mission and the programmes.

III. Profile
–    Experience in a similar position in no-profit organisation at least 1 year
–    Excellent knowledge of Windows environment
–    Basic troubleshooting of routine office IT equipment is an asset.
–    Knowledge of Ngos logistics procedures
–    English (spoken – written – read) and Italian are assets. French is a plus
–    Ability to classify and to manage priorities
–    Organisational skills, rigor, responsiveness, anticipation, ability to take initiatives flexibility, Interpersonal and intercultural skills
